Link your Etsy shop

Bring your Etsy orders here and keep stock right in both places, once it’s switched on.

Linking your Etsy shop lets Handsold bring your Etsy orders into Orders here and keep stock the same in both places, while you keep selling on Etsy just as you do now.

This is switched on once Etsy approves Handsold’s app. Until then, Etsy doesn’t show in Settings, and watching your stock by hand is the way to keep both shops right.

  1. Step 1: Go to Settings and open Etsy.
  2. Step 2: Tick the box to agree to the terms for linking an Etsy shop. The links beside it open the terms and what’s kept.
  3. Step 3: Press Connect your Etsy shop.
  4. Step 4: Etsy asks you to sign in, then shows what Handsold would like to do. Allow access on Etsy’s page.
  5. Step 5: You come back to Etsy in Settings, which shows your Etsy shop’s name with Linked beside it.

Only the shop’s owner can link it, because it’s your own Etsy account. Admins, staff and Handsold’s team can’t do it for you. One Etsy shop can only be linked to one shop here.

Handsold asks Etsy only for what it needs: to see your shop, your listings, their stock and your orders, and to change stock and mark orders as sent. It never sees your Etsy password, and Etsy doesn’t share your buyers’ email addresses.

  • Here, and Etsy follows: edit your products here, and the changes are sent to your Etsy listings.

Choosing one place means a change is never made twice, or lost. Stock isn’t part of this choice: a sale in either place takes it off both.

It checks every few minutes by itself. Sync now checks straight away, and Recent syncs shows what happened lately. Each part says Not switched on yet until it’s ready.

Etsy orders stay Etsy’s: refunds and messages to the buyer happen on Etsy, Handsold takes no fee on them, and never emails Etsy buyers.

For each product option linked to an Etsy listing, the stock is kept the same in both places, whichever side you edit listings on:

  • A sale on Etsy comes off your stock here at the next check, every few minutes. Its line in the stock history says Sold or changed on Etsy.
  • A sale here, a change with Adjust, a stock count, or a refund that puts things back goes to Etsy within a minute or so.
  • If both sides sold one since the last check, two come off. Stock never goes below 0.
  • Things marked Also on Etsy in Inventory are linked. Inventory also says when stock was last checked.
  • Made-to-order products, and anything you don’t count stock for here, are left as they are on Etsy.

When an option is first linked, the stock on the side you edit your listings on is used for both.

If the very last one sells on Etsy and here at about the same time, both buyers have paid for it. Inventory’s history says so, and you get a notification. Make another if you can, or let one buyer know: Etsy buyers through Etsy’s messages.

Putting stock back on an Etsy listing that had sold out makes it active again on Etsy, which may renew the listing and charge Etsy’s listing fee.

If you add, take off or rename an option on an Etsy listing, its options no longer match the ones here, so its stock isn’t changed on either side. Etsy in Settings lists it under needs a look, with what changed.

  • Link the listing’s options again, and it carries on by itself from the next check.
  • If you change the option back on Etsy, it carries on too.
  • If the options share one stock figure on Etsy, set the quantity to vary for each option on Etsy.
  • Each paid Etsy order comes into Orders with your shop’s next order number, marked Etsy, and Etsy’s own order number on it too. The first sync brings the last 30 days.
  • Items linked to your products show with their photo and option. Anything not linked yet still shows, as a plain line. Personalisation shows in full, as on your own orders.
  • Make it and print its packing slip and label as usual. Mark as posted sends the carrier and tracking to Etsy, and Etsy emails the buyer.
  • Refunds and cancelling happen on Etsy: Refund on Etsy opens the order there. Whatever you do on Etsy, posting it too, shows here within a few minutes.
  • Source on the orders list shows only Etsy’s orders, or only your shop’s.

Handsold never emails an Etsy buyer and never adds them to your Customers or mailing list. There’s no Handsold fee on Etsy orders, and their money shows apart, as On Etsy, on your dashboard and in Analytics.

Etsy doesn’t take tracking from every shop. If it says no, the order stays posted here and says Couldn’t tell Etsy, so mark it posted on Etsy too.

  1. Step 1: On Etsy in Settings, press Your Etsy listings.
  2. Step 2: Press Read my Etsy listings. They’re read with their prices and options, and sorted into Already here, New and Not bringing.
  3. Step 3: Already here means a product here has the same SKUs on every option, or the same name. Link it rather than bringing it twice. When it isn’t clear which product it is, choose it from the list.
  4. Step 4: Tick what you want, choose In as drafts or Straight into the shop, then press the button at the bottom, such as Bring 12, link 3, and Go ahead.

New products come with their name, description, price, options (each with its own price, SKU and stock), weight, search words and photos. It carries on in the background, so you can leave the page. Drafts, sold out, expired and turned off listings start unticked, and listings priced in another currency can’t come across.

A linked product shows On Etsy in Products, where you can filter by it. If you edit on Etsy, the product editor shows its name, description, photos and prices read-only, and says This one follows your Etsy listing. Change it on Etsy. If you edit here, changes to its name, description and prices are sent to Etsy. Photos aren’t sent yet, so change those in both places.

Linking only links. A new product made here isn’t put on Etsy: list it on Etsy yourself, then link it here. Unlink keeps the product exactly as it is.

On Etsy in Settings, press Unlink. Handsold asks Etsy to forget its access and deletes the keys it held. Orders already brought here stay, but the buyers’ names, addresses and notes on them are removed: you’ll still find them on Etsy. Your Etsy shop stays exactly as it is.

Which product is which listing is remembered, so linking again picks up where it left off.

If Etsy stops accepting the link, say because you removed the app in your Etsy account, the screen says Needs connecting again and offers Connect again.

  • It reads your Etsy shop’s name and address, your listings, their stock and options, and your orders. Nothing else.
  • For each Etsy order it keeps what was bought, and the buyer’s name, delivery address and any note, so you can make and post it from here. Etsy never gives it buyers’ email addresses or payment details.
  • Buyers’ names, addresses and notes are removed from here 30 days after the order is posted or cancelled, 120 days after it came in at the latest, and straight away if you unlink. The order itself stays, for your records, and everything stays on Etsy.
  • Handsold never emails or markets to your Etsy buyers, and never passes your Etsy data to anyone else.
  • If what’s shown from Etsy hasn’t been checked for a while, Etsy in Settings says so. Sync now catches it up.

The keys Etsy gives Handsold to reach your shop are stored encrypted, and deleted when you unlink. Handsold’s privacy policy has the full detail, under “If a seller links their Etsy shop”.
