Mollie, a payment company, looks after payments for Handsold. It checks who you are and where to send your money, then your share of each sale reaches your bank. Everything for it lives in Settings, Get paid.
Where payments are nowLink to Where payments are now
In your back office: Get paidCard payments aren’t switched on yet. Buyers can go all the way through your checkout, but no money changes hands: orders are marked paid and nothing is charged. Treat any orders as practice. Handsold takes nothing from them either.
Get paid always says which of these is true for your shop today:
- Your checkout is in demo mode for now: buyers can go all the way through checkout, but no money changes hands. This is where every shop is until card payments are switched on.
- Your checkout can’t take orders yet: Handsold takes payments through Mollie, but Mollie hasn’t switched them on for your shop. Buyers are told you’re still setting up how you get paid.
- Payments are in test mode for now: buyers pay on Mollie’s test page, so no money changes hands and any orders are practice ones.
- None of these: buyers pay for real through Mollie, and your share of each sale reaches your bank.
An order paid with the demo payment says Demo payment in its Payment panel. Plan & fees says Nothing is being charged yet, and shows what Handsold would take once payments are real.
A practice orderLink to A practice order
- Step 1: On the dashboard, the Get paid step of Getting started has Try a practice order, which opens your shop in a new tab. You can also just open your shop yourself.
- Step 2: Put something in the basket and go all the way through the checkout, as a buyer would.
- Step 3: Back in Orders, the order shows as paid, and its Payment panel says Demo payment.
- Step 4: Refund it from the order when you’re done. A demo refund only updates the records: no card is touched.
While payments are in Mollie’s test mode, the button says Try a test order instead, and you pay on Mollie’s test page. Once real payments are on, practice orders stop counting in your figures.
Connecting your shop to MollieLink to Connecting your shop to Mollie
In your back office: Get paid- Step 1: Go to Settings, Get paid. Only the shop’s owner can do this, because Mollie checks the person behind the shop.
- Step 2: Answer How do you trade?: Sole trader (self-employed), Limited company, Limited liability partnership (LLP), Partnership and None of these yet.
- Step 3: Check First name and Last name, as they are on your ID, and The name you trade under. A company gives its Company name and Companies House number instead. Add the business address is optional: Mollie asks for it if you leave it out.
- Step 4: Press Continue to Mollie. Mollie’s site opens to check your details, and when you’re done there you come straight back to Get paid.
Have these ready
- A photo ID, like a passport or driving licence.
- Your bank details.
- For a sole trader, a document from HMRC about your self-assessment. For a company, its Companies House document.
Mollie can verify businesses and sole traders. If you sell as yourself, register as self-employed with HMRC first (it’s free, and you can do it online), then choose Sole trader (self-employed). Choosing None of these yet tells you the same.
Until Mollie is open to sellers, Get paid says Getting paid through Mollie isn’t open yet, and there’s nothing to do here for now. You can still add your details for HMRC.
What Mollie still needsLink to What Mollie still needs
Once you’ve connected, the top of Get paid says where things are:
- You’ve started setting up with Mollie: press Carry on with Mollie to finish.
- Mollie is checking your details: there’s nothing to do. Get paid updates by itself every few hours.
- Mollie needs a few more things: each is listed under What Mollie still needs, marked Needed now, Asked for or Overdue, with the date it’s due by. Press Carry on with Mollie to give them.
- Your shop can take payments: Mollie has checked you. If it still needs something before it can send money to your bank, it says so, and your sales are safe meanwhile.
- Mollie has paused payments: something is overdue, or Mollie can tell you why. Your shop can’t take payments until it’s sorted.
- Your shop isn’t connected to Mollie: press Connect Mollie again.
Check again asks Mollie straight away. Disconnect (the owner only) stops your shop taking payments until you connect again. Money already on its way to you still arrives, and your Mollie account itself stays as it is.
How the money movesLink to How the money moves
This is how it works once card payments are switched on. Until then, no money moves at all.
- A buyer pays once, on Mollie’s payment page, even for a basket from several shops. Handsold takes the payment for each shop, and each shop gets its own order.
- Your share of each order is held until you mark it as posted (downloads count once they’re delivered), then for 7 more days, so refunds and disputes can come out first.
- Every Monday, everything due goes to your Mollie account, and Mollie sends it on to your bank.
- Handsold’s fee and Mollie’s card processing fee come off first, each as its own line, and so does anything you owe.
- Refunds go back to the buyer’s card.
Your balance shows where each order’s money is.
Your details for HMRCLink to Your details for HMRC
In your back office: Get paidHMRC’s rules for online marketplaces mean Handsold sends HMRC a summary of what each seller sold, once a year in January. Your details for HMRC on Get paid is where the owner gives the details it needs. Handsold keeps them locked away and uses them only for that.
- Step 1: Press Add your details.
- Step 2: Choose How do you trade?.
- Step 3: As a person: Your full legal name, Date of birth, and your National Insurance number or UTR (self-assessment). As a business: The business’s registered name, its Companies House number and The business’s UTR.
- Step 4: Add the address you trade from, and a VAT number under Add a VAT number if you’re registered for VAT.
- Step 5: Press Save details.
Once saved, numbers only show as their last few characters. Change these details lets you put them right. Admins and staff see that they’ve been given, never what they are.
You can do this now, before card payments are switched on. What we’ve told HMRC explains the yearly report.
Paid another way?Link to Paid another way?
If a buyer starts an order but pays you another way, open the order and use Mark as paid once the money is really with you. Choose How did they pay?: Bank transfer, Cash, Card in person or Something else, and add a Note only you see, like a payment reference.
The order moves on as if it was paid at checkout, and its Payment panel says it was marked as paid by hand. The sale counts towards your fees like any other. Refunds on it are recorded, and you give the money back yourself.
