Products lists everything in your shop, from half-finished drafts to your bestsellers. This guide is about keeping them in order once they’re added.

In your back office: ProductsSearch by a product’s name, its code or a search word. Category shows one category, or No category, and Sort by puts them in order: Recently updated, Newest first, Bestsellers, Name, A to Z or Price, low to high.
The tabs show All, In the shop, Drafts, Coming soon (only when something is) and Archived, and the kinds: Posted, Downloads or Both. The stock column says how many are left, or Not tracked for things you don’t count.

- In the shop: anyone can find it and buy it.
- Keep it as a draft: hidden while you work on it. Only you can see it.
- Coming soon: on show with a countdown, then it goes on sale by itself. See release it on a date.
- Archived: hidden from the shop, while past orders and downloads keep working. See archive.
A new product asks When it’s saved: choose before you press save. On a saved product the same panel is called Status: change it, then press Save.
A product needs at least one version on sale to go in the shop. If a download has no file yet, or there’s no photo, the panel warns you.
Sale pricesLink to Sale prices
Type the old, higher price as the Was price, and the lower one as the Price. Buyers see the old price crossed out next to the new one, and the card gets a Sale badge. The Was price is under Stock, postage and sale price, or in each version for a product with choices. Clear it to end the sale.
To put many things on sale at once, tick them on Products and change their prices with Show it as a sale.

Open More options, then Where it shows in the shop.
- Category: the shelf it lives on, like Mugs or Wall prints. Each product has one. See categories.
- Category on the Handsold marketplace: where buyers find it when they browse the marketplace. It’s picked from the name until you choose.
- Collections: tap each hand-picked collection it belongs in. Smart collections choose their own products, and the ones it’s in are listed underneath.
- Search words: words people might search for, like gift or wall art. They also link similar products together, and smart collections can pick by them.
- Feature it: shows it in the featured spots on your home page.
Duplicate a productLink to Duplicate a product
Open the product and press Duplicate in the More panel. The copy has “(copy)” after its name and is saved as a draft, with the same photos, versions, prices, details and collections.
Its stock starts at 0, its product codes get -COPY on the end, and download files aren’t copied, so add the copy’s own. The copy is made from the last saved version, so save your changes first.
Archive, bring back or deleteLink to Archive, bring back or delete
Archive, in the product’s More panel, hides it from the shop and your stock lists. Past orders and downloads keep working. To bring it back, open it from Archived on Products and press Bring it back as a draft, then put it in the shop when you’re ready.
Delete removes a product for good, with its photos, versions and files. It’s only there for a product that’s never been ordered: one that has been can’t be deleted, so archive it instead.
Deleting can’t be undone. If you might sell it again, archive it.
Change several at onceLink to Change several at once
In your back office: Products- Step 1: On Products, tick the products you want, or the box at the top for the whole page.
- Step 2: In the bar at the bottom, press Publish, Draft or Archive, or Edit.
- Step 3: Edit offers Category, Prices, Search words, Add to a collection and Take out of one. Pick one, fill it in and press Change.
A new category replaces the old one, and search words are added to the ones they have. Only hand-picked collections are listed. Publish leaves out anything with no version on sale, or a download without its file, and says which.
Raise or lower pricesLink to Raise or lower prices
- Step 1: Tick the products, press Edit and choose Prices.
- Step 2: Choose Raise or Lower, then type a percentage in By.
- Step 3: Choose how to Round the new prices: To the penny, to whole pounds, or to end in 99p.
- Step 4: Lowering them for a sale? Tick Show it as a sale to keep the old price showing, crossed out.
- Step 5: Check the line that shows what two prices become, then press Change.
Every option of every ticked product changes, and anything free stays free. A Was price moves by the same percentage, so a sale stays the same sale.
Prices change straight away and there’s no undo. To keep a record of the old prices, download the products spreadsheet first.

Press Download every product as a spreadsheet, under the list on Products. You get a CSV file that opens in any spreadsheet app, with a row for each option: its name, status, category, collections, search words, price, was price, cost, stock and product code.
It’s a copy to keep or read: changing it doesn’t change your shop. To change stock counts from a spreadsheet, use the stock spreadsheet instead.
Renamed web addresses keep workingLink to Renamed web addresses keep working
Each product has a web address made from its name, like /products/blue-mug. You can change it under Google and the web address, and categories and collections have one too. The old address is kept, so anyone following an old link from an email, a post or a search result lands on the new one.
If you later give something else the old address, that new thing shows there instead.
